What to do when your cleaner cancels last-minute

A quick checklist for the worst-case turnover scramble — and how to make sure it never costs you a booking.

It is 4pm, checkout was at 11am, and your cleaner just texted that they cannot make it. Check-in is at 4pm tomorrow — or worse, tonight. Here is the order of operations that saves the booking.

First: find out how much time you actually have

Open the reservation and check the real check-in time, not the listing default. Guests flying into Kona often land in the evening. An arrival at 8pm turns a four-hour panic into a workable window.

Second: message the guest before they message you

If the turnover is genuinely at risk, a proactive message offering a slightly later check-in almost always lands well. Guests forgive a delay they were warned about. They do not forgive walking into an unclean property.

Third: triage what has to be perfect

If you end up cleaning yourself, do them in this order:

  1. Bathrooms — the first thing inspected, the fastest to fail a review.
  2. Linens — strip and remake every bed a guest could use.
  3. Kitchen surfaces and sink — empty, wiped, dry.
  4. Floors — vacuum high-traffic paths, mop the kitchen and bath.
  5. Trash — out of the house, bins to the curb.

Everything else can wait. Dusting the top of the bookshelf has never saved a review.

Fourth: have a real backup before it happens again

The reason this becomes an emergency is that most hosts have exactly one cleaner and no fallback. We run a dedicated after-hours emergency service for precisely this — nights and late hours, island-wide, and we carry spare sheets and towels in the vehicle so a missing linen set never delays a check-in.

Save the number before you need it, not during.
